Guest Confirmation and Guest Policies

 

 

ACCESS CODES
Access Codes will only be given to the person who scheduled the reservation. If you are locked out of your rental unit after business hours, call our emergency number (obtained at check-in). There will be a $50 fee to obtain access codes that have already been issued after business hours.
 
DAMAGES / LOSS / THEFT / UNNECESSARY CLEANING
All reservations will require a credit card number, name and expiration date, as security against damages, loss, theft or unnecessary cleaning. Upon check-in, this card will be pre-authorized for a damage deposit. Rental guest authorizes, approves and acknowledges that this credit card may be charged, at the discretion of Adagio Realty, Inc., with any damages, loss, theft or unnecessary cleaning due to said guest’s occupancy of rental unit. All units are inspected before and after a guest’s occupancy. Guest will be notified of charges, if applicable.
 
CHECK-IN
Check-in and checkout procedures will occur at the on-site rental office – 2421 West County Highway 30-A (Blue Mountain Beach) in Santa Rosa Beach, Florida 32459. Check-in time is no earlier than 4:00 p.m. (Central Time), or when the unit that you have been assigned is rental ready.
 
Guests who will be arriving after office hours should make arrangements by telephone prior to arrival. Our office hours are typically 9:00 a.m. – 5:00 p.m. Sunday through Saturday. Please contact the office for current hours, if you are uncertain.
 
CHECKOUT
Checkout time is NO LATER THAN 10:00 a.m. (Central Time).
ALL guests must vacate unit, NO LATER THAN 10:00 a.m., or guest WILL be charged for an additional night's stay.
Leave unit in a reasonable state of cleanliness.
Wash dishes either by hand or in dishwasher; you may leave clean dishes in dishwasher if washed with detergent.
Remove all food and trash/garbage from unit and place in receptacles outside.
Set A/C on 75F degrees, or heat on 55F degrees, as applicable.
Turn off all lights and appliances.
Lock all doors and windows.
RETURN PARKING PERMITS TO OFFICE OR PLACE IN KEY DROP BOX.
 

 RESERVATION SECURITY DEPOSIT
A Reservation Security Deposit will be required to confirm your reservation. This may be paid by credit card (Master Card, Visa, American Express or Discover Card), or cash or money order, if on-site (please do not mail cash or money orders). The amount of the deposit required is 25% of the total rental amount. The full amount of the Reservation Security Deposit will be credited towards your rent at check-in. Reservations made under false pretenses or misrepresentations of any kind will result in the forfeiture of the Reservation Security Deposit and eviction.
 
A photocopy of a driver’s license is required at check-in.
 
RESERVATION FEE
A non-refundable reservation processing fee will be charged to all reservations.
 
CHANGES TO / CANCELLATION OF RESERVATION
There will be a $50 fee to change any existing reservation. Changes to your reservation must be made at least sixty (60) days prior to your arrival. No changes will be accepted less than sixty (60) days prior to arrival.

  • Cancellation of your reservation within thirty (30) days of your expected arrival will result in forfeiture of the entire Reservation Security Deposit and 3% (or applicable rate) of your total credit card payments to date.

  • Cancellations within thirty-one (31) to sixty (60) days of your expected arrival will result in forfeiture of 50% of the Reservation Security Deposit, minus a Processing Fee, and 3% (or applicable rate) of your total credit card payments to date.

  • Cancellations over sixty (60) days from your expected arrival date will result in a full refund of the Reservation Security Deposit, minus a Processing Fee, and 3% (or applicable rate) of your total credit card payments to date.

  • Consideration will be given due to death of an immediate family member, upon receipt of a death certificate. We do not refund Reservation Security Deposits because of weather, unless a Mandatory Evacuation or Disaster (Natural or Synthetic) has been declared by local or state authorities.


Rental Payments which have already been made in full, will be refunded on a pro-rated basis, due to the foregoing only.

BALANCE OF RENTAL PAYMENT DUE
Balance of Rental Payment is due in full at check-in. We accept cash, checks, money orders or credit cards (Master Card, Visa, American Express and Discover Card). NOTE: Checks must be received at least two weeks PRIOR TO ARRIVAL DATE. If check is RETURNED, the credit card we hold on file will automatically be CHARGED A $100.00 PROCESSING FEE. All rates are subject to applicable Florida state and local sales tax.
 
PETS
Pets are NOT allowed in any rental units. If any evidence of a pet of any kind is found in the unit you will be charged an appropriate damage fee, and you will be evicted.
 
SMOKING
Smoking is NOT permitted in any rental units or at pools/hot tub. If any evidence of smoking is found in the unit you will be charged an appropriate damage fee, and you may be evicted.
 
GRILLING
Grilling on balconies or corridors is NOT permitted. If any evidence of grilling inside units or on balconies/corridors is found you will be charged an appropriate damage fee, and you may be evicted.
 
On-site grills are located by the corners of the pool buildings.
 
MINIMUM OCCUPANCY PERIOD
Our minimum rental occupancy period is three (3) nights.
 
MAXIMUM NUMBER OF GUESTS
The allowable occupancy for the rental unit is based on sleeping arrangements. Guests who exceed the maximum occupancy are subject to an additional charge, or eviction.
 
AGE RESTRICTION
We do not rent to students and/or single persons under the age of twenty-five (25). All students and single persons under the age of twenty-five (25) must be accompanied by a parent while occupying rental unit.
 
NO ASSIGNMENTS / SUBLETS OF PROPERTY
The rental unit may not be assigned or sublet. Your reservation is not transferable. Any person(s) occupying a unit who is subletting will be subject to immediate eviction.
 
RENTAL RATES
Published rental rates may change without notice. We are not responsible for errors or omissions. We reserve the right to correct mistakes caused by misquoting rates or computer error.
 
HOUSEKEEPING / LINEN SERVICE
The rental unit is equipped with a washer and dryer. You are responsible for your own detergent. You will be responsible for washing/drying your own towels/linens, once the initial supply is used.
 
The rental unit will be stocked with an initial supply of trash bags, toilet paper, bath soap and dishwasher soap. You will be responsible for purchasing these items, once the initial supply is used.

 

Guests who are visiting Adagio for more than 30 consecutive days will be required to allow inspectors to assess unit cleanliness and damages every two weeks. Guests will be responsible for necessary charges.
 
ITEMS YOU MAY WANT TO BRING
Please bring your own beach towels! We do not permit towels, sheets, blankets or furniture to be removed from the property. Beach chair and umbrella services will be operating on the beach.
 
Other items:
Hair dryers, laundry detergent, dishwasher detergent, bath soap, paper products, trash bags, ethernet cord (for internet service in units)
 
MAINTENANCE
Please report any maintenance problems to Adagio Realty, Inc. immediately. Our staff may enter the rental unit during your stay to attend to maintenance and/or housekeeping services. There is a flyer in your Guest Information package that may help in troubleshooting some common or routine maintenance problems/issues.
 
For after hours emergencies, call our emergency number (obtained at check-in) and leave a message regarding the unit number, the call back telephone number and a description of the problem. Please allow time for emergency personnel to respond.

 Please do not leave doors and windows open while A/C or heaters are operating.
 
PERSONAL PROPERTY
We are not responsible for any acts of theft or vandalism, or other damages to any personal property during guest occupancy. We are not responsible for personal items left by the guest in the rental unit at departure. ALL personal belongings must be removed from beach & pool at night.
 
RESPECTING OWNER’S PROPERTY
WE RESPECTFULLY REQUEST THAT YOU REMEMBER YOU ARE STAYING IN SOMEONE’S HOME DURING YOUR VACATION. PLEASE TREAT IT WITH CARE AND LEAVE IT IN THE CONDITION IN WHICH YOU CHECKED IN.
 
PLEASE DO NOT MOVE FURNITURE.
 
ASSOCIATION RULES AND REGULATIONS
Please observe and abide by all rules and regulations governing the use of the property you are occupying. These rules apply to both owners and guests, and failure to comply can result in eviction.
 
PARKING
ONLY TWO personal vehicles used by residents or their guests as daily transportation will be allowed to park in the parking areas. No boats, trailers, campers or other recreational vehicles will be allowed to park in the parking areas.
 
PROHIBITED ACTS
NO TENTS ARE ALLOWED ON BEACH.
NO SMOKING IN UNITS, ON BALCONIES, OR AT POOLS/HOT TUB.
NO WALKING ON DUNES OR DESTROYING/PICKING SEA OATS.
NO loud and unruly behavior.
NO fireworks or firecrackers on property.
NO hanging any items on/from balconies or railings.
NO throwing any item from balconies.
No feeding seagulls (or other birds) from balconies or pool area.
 
AGENT
Adagio Realty, Inc. serves as the agent for the owner of the rental property.
 
REFUNDS
No refunds will be issued for failure of small appliances (TV/VCR/DVD, stereo, dishwasher, wine cooler, icemaker, fireplace, microwave, small electric kitchen appliances, etc).
 
No refunds will be issued for early departures.
 
No refunds will be issued for failure of utilities. Every attempt will be made to restore the utility within a reasonable time. Guests may be moved to another comparable unit at the discretion of Management.
 
TELEPHONE USAGE
All rental units are equipped with touch-tone telephones. All phones have a long distance restricted access service. You must use a long-distance calling card or credit card in order to place a long distance phone call.
 
SPECIFIC REQUESTS
Every attempt to honor specific requests for units will be made. However, in case of emergencies or unforeseen circumstances, Adagio Gulf Rentals reserves the right to move a guest to a comparable unit when absolutely necessary.

DAILY RATES ARE NOT APPLICABLE FOR SPRING BREAK AND SUMMER SEASONS.
SATURDAY TO SATURDAY RESERVATIONS ONLY FOR SPRING BREAK AND SUMMER SEASONS.
